Bill and Sue Wheeler had requested time at the Board Meeting and the floor was given to them. They had a number of issues they wanted to discuss with the Board. First they wanted to know about the termite contract, they felt the contract was too expensive and wanted to know if we got more than one quote before we signed a contract with Nashville Pest Control. They were advised that we had received at least three quotes, although we did not keep the other two quotes after we elected to sign a contract with Nashville Pest Control. The Wheelers suggested it would have been a good idea to have kept these quotes and to have let the members of the Greens know what the quotes were.
They also questioned the street light being out between 118 and 120 Nashboro Greens. Jim Curley advised that NES has been notified and we are waiting for them to come out and repair the street light. They will be contacted again.
One of the mail boxes has been damaged. The locks on the two oversized boxes have been broken. It is the responsibility of the association to replace the locks on the oversize boxes, and the responsibility of the individual homeowner to replace any locks broken on their own mail box. Jim Curley will see that this is fixed as soon as possible.
There is a tree behind unit 112 that needs to be removed because it is causing problems for the neighbors. Alan Weatherly, the landscaper, has been notified of this tree and it is on his schedule to be removed.
The association insurance was questioned. Fran Oroson told the Wheelers that the insurance policy the association has is the best in Nashville. Before a property manager was hired, when the associated was first turned over to the residents of the Greens, a search was made of all companies that offer insurance to condo associations, and it was found that there are only two or three companies that will offer insurance to cover condos. We chose to continue insurance with Fridrich, Pinson & Rothberg Insurance. Bill Wheeler requested the policy number and it was given to him. Per Jim Curley Properties: The way the cert of insurance is done is if a resident needs a copy they are told to call the insurance company and they, the insurance company, emails or faxes the set page to the mortgage company or bank. We have a copy of the whole policy but when a mortgage company or bank call, it is the proof of insurance declaration page that they want for that unit and the insurance company has that.
Mr. Wheeler advised that when he redid his deck he discovered that when they were built, no concrete was put in the support columns. When redoing his deck he had this problem fixed. However, some of the decks on the golf course side are beginning to settle and need to have columns fixed before there is a major problem. This concern will be checked immediately.
Mrs. Wheeler asked how the driveway at unit 114 was fixed. Is the rain water that drains down the side of the driveway going to flow out into the street? No, this will not happen; a trap has been installed at the end of the driveway causing the rainwater to drain before it reaches the street.
The Wheelers also said they had talked with Vivian Wilholt about turning our street over to the county. Ms. Wilholt believes this can be done and is checking into it. She will be getting back with the Wheelers.
The last issued brought up by the Wheelers was whether or not Fran Oroson and Gary Petersen would resign as board members. Both said they had been elected for a two year term and would not resign until the end of their term in January 2010. At this point the Wheelers presented Fran and Gary with a petition requesting a special meeting to remove Gary Petersen, Fran Oroson and Lyle Fuson as board members. The petition was reported to have been signed by 10% of the association.
The Wheelers and Ms. Schwartz then left the meeting and the board meeting began.
The first order of business was to correct the May Minutes. However, in checking the May Minutes I don’t see any problem. An e-mail was received saying not all of the board meetings had been posted on the website. In checking, all of the minutes have been posted. The Annual Meeting was held in January, and then board meetings were held in February, April, May and July. No minutes are available for April. As soon as the July minutes are approved by the Board they will be posted.
Gary Petersen read a letter from Deborah Montgomery resigning from the board due to business and family commitments. Joey Supak was nominated and elected to fulfill Deborah’s remaining term, which ends at the 2009 Annual Meeting in January.
Jim Curley reviewed the monthly budget. Delinquencies continue to be a problem, we have approximately $8,771 in delinquencies: three foreclosures and the remaining are being handled by the attorney. There was some discussion when the above members were present that the names of delinquencies should be posted in the board minutes. Again, the board elected not to post these names.
The current month’s expenses include approximately $1300 in building repairs; $2500 for lawn care; and $7400 for insurance (this is for 1/3 of the annual premium, the balance of the annul premium will be paid monthly).
The board reviewed a number of the e-mails. Unit 305 has put up a bamboo fence around the patio which is in violation of the CCRs and will have to be removed immediately. Unit 303 has a dog that is being tied up outside and barking awaking the neighbors. Also, the droppings from the dog are not being cleaned up even though it is going in the areas behind and/or beside the neighboring common areas. Jim Curley Properties will be taking care of these problems. Pet owners not cleaning up after their pets continue to be a problem. When the board is advised of these pet owners, a $250 fine will be sent to them.
The issue of putting gutter guards on the condos facing the golf course has been put on hold. At this time the association does not have the funds to pay for them, and the board does not feel an assessment to pay for them is advisable.
Fran reported that she has letters ready to go out to Food Lion and Aldi requesting them to participate in our picnic again this year. She is also going to send letters out requesting door prizes from some of the local merchants.
One other e-mail received concerned the property at the top of the hill. This is not our property. Gary Petersen will be calling Marion Stamper to find out when this area will be landscaped property.
The next regular Board Meeting will be September 18, 2008 at the home of Amy Watson.
